Time Management in the Time of COVID-19

For someone who used to frequent no fewer than four grocery stores per week, I have really been missing running errands and wandering around Whole Foods reading labels and drinking a latte.

But one of the many things the COVID-19 shutdown has taught me is that maybe I had it all wrong.

Before the coronavirus outbreak, I considered myself to be quite skilled in time management. After all, I manage my PR career, the running of our household and schedules for two very busy kids, as well as various volunteer positions at school, church, etc. Several friends raved about ordering groceries online, but I quickly dismissed the idea because, quite frankly, I am very particular about my produce.

Fast forward six months, and let me tell you, this self-proclaimed germaphobe has mastered the art of managing almost all my interactions via online orders.

Queen of Curbside

It hit me last week when I was running a few “errands” with the kids in tow. Our first stop was Benjamin Moore to pick up the paint samples I ordered and paid for over the phone earlier that morning. The nice gentleman walked them right out to the car.

Next up was Seaboard Wine for our biweekly call-ahead order. Then we headed to curbside pickup at The Container Store. We are moving this week, and not even a global pandemic was going to get between me and the mecca of organization. Then we swung through Harris Teeter and Target to grab our online orders. We pulled in and popped the hatch, and just like that, we are stocked for the week. (Who am I kidding? At the rate these people are eating, it will be gone in three days tops.)

Our last stop, or so I thought, was NoFo to grab dinner from the prepared foods section. I called in the order while we were in the car, and a staff member walked it right out to us. Even though we had never left the air-conditioned Suburban during our outing, the kids proclaimed they were hot and needed some ice cream. Kilwins to the rescue! I called in the order, and within minutes we pulled up to the door and were greeted with two ice cream cones at the curb.

The New Normal?

Wondering where I am headed with all this? In less than one hour, I accomplished what would have taken closer to four or five hours if I would have had to park, shop, wait in line to check out and drag two kids through seven stores.

It got me thinking about time management and how we can be more efficient. Has the way we shop been forever changed, even after COVID-19 is behind us?

Don’t get me wrong, when all this is over, you will definitely find me back at Whole Foods or wandering aimlessly around HomeGoods from time to time, but I will certainly be more intentional about how I schedule my errands. And I anticipate retailers will see that this level of customer service will need to be integrated into their ongoing business models. There is not a great deal we can control these days, but how we spend our time is certainly one of them.

The foundation of any good relationship is built on several fundamental values, such as trust, transparency and mutual respect. But there also needs to be that spark, or chemistry, to really make the magic happen. The same holds true for successful agency/client relationships.

Throughout my career, I have worked on numerous account teams and navigated through all types of client relationships. The one common thread among the accounts where we really moved the needle for the client and produced big results were the ones where we had the secret sauce.

Wondering what the ingredients are? Let me share a few with you.

Mutual Respect – This should go without saying, but sadly that is not always the case. The client and the agency team members need to have a mutual respect for one another as well as for their roles and responsibilities on the account. They need to be able to really listen to each other and understand their respective areas of expertise.

Trust – Trust is key. As an extension of the internal team, clients need to be able to trust their agency partner as they would their in-house colleagues. Confidential information must not be shared and deadlines need to be consistently met to establish that trust. They also need to be able to trust that their agency partner has their back and is looking out for issues and opportunities that could affect the business.

Good Rapport – Often during a busy workday it feels like there isn’t much time for chit chat. But sometimes taking those extra few minutes at the end of a call with a client to ask about her weekend or family can make all the difference in the world. You are building a relationship, and while it must always be professional, taking the time to also make it personal can make all the difference in the world.

Honesty – I think we all would agree delivering bad news to a client is never easy, but it is always best to be upfront from the beginning and for the agency contact to alert the client at the first sign of trouble. If a project is going over budget or there are hiccups when planning a big event, pick up the phone and let the client know where things stand. That approach will eliminate any big surprises at the end and will help build the trust I mentioned earlier.

Sometimes it’s effortless, and all of these elements fall into place naturally. Other times the dynamic doesn’t start out as smoothly, and you need to cultivate the relationship. Either way, it’s in everyone’s best interest to put in the extra work to make sure the key ingredients are in the secret sauce. It will pay off in the long run. I promise.

When your office is a beautiful historic house that’s been expertly decorated, there is no shortage of places to sit. Our team members share the spots they gravitate toward when coming to work each day.

Dana: “I love our kitchen island. Have you ever noticed that when you throw a party, everyone ends up in the kitchen? It’s the same at The Clairemont House. The island is where we have team meetings, host guests for meetings over coffee, charge our phones and computers and indulge in treats from our favorite local restaurants. And working here often feels like a party in other ways, too.”

 

 

 

 

Cherith: “Sneak upstairs to the second-floor office (which, P.S., doubles as part of Clairemont’s cozy Airbnb suite.) Think warm, natural light, bold colors and oodles of open space for a ready dose of creative inspiration.”

 

 

 

 

 

Tracy: “The downstairs hallway, or “wall of fame,” is my choice. It’s the space where we display awards the agency has won and other recognition our team members have received. It’s a great reminder of the hard work our team has put in and how much we have accomplished.”

 

 

 

 

Nathan: “My favorite nook of the Clairemont house is the front porch. Hearing the breeze rustle the trees is incredibly relaxing, and it is quite serene to have all sorts of people and animals walk by while I work.”

 

 

Yasmine: “The Crank Room is my pick because it’s bright, warm and so cozy. And have you seen the pink, heart-shaped ottomans?”

Dana Phelps Hughens Named Chair of PRSA’s Counselors Academy

Fanelli, Finley and McCormick named as new members on 2018 executive committee

NEW YORK  — The members of the Public Relations Society of America (PRSA) Counselors Academy have elected Dana Phelps Hughens, CEO of Clairemont Communications in Raleigh, N.C., as its 2018 chair. In addition, Filomena Fanelli of Impact PR & Communications and Kate Finley of Belle Communications have joined the Counselors Academy executive committee for three-year terms, and Gary McCormick of GMc Communications as an ex-officio member for a one-year term.

Counselors Academy is the national professional interest section of PRSA that focuses on the business of agency PR. Its entrepreneurial members are owners or senior managers of leading independent firms in the U.S. and Canada. Counselors Academy’s programs foster networking, mentoring and learning, and the executive committee consists of 15 senior-level public relations professionals from across the country.

As CEO of Clairemont Communications, Hughens leads the agency to devise public relations and marketing strategies that have been recognized with 175 industry awards since opening in 2010. She is a Silver Anvil award winner and has been honored by the Triangle Business Journal with Women in Business and Forty Under Forty awards. Previously, Hughens was Senior Vice President and Global Consumer Practice Group Co-Chair of Fleishman-Hillard.

“As the owner of an independent agency, one of my first decisions was to join PRSA Counselors Academy,” said Hughens. “It is an essential resource in building and managing a business and has allowed me to build close relationships with other public relations professionals who I know I can trust.”

Hughens added, “As a long-term member of Counselors Academy, I’m really passionate about being this year’s chair. We’re focused on growing and engaging our membership while we continue to make our annual conference the premier professional development event for public relations agency owners and senior leaders.”

The section’s marquee event is the PRSA Counselors Academy 2018 Spring Conference, which will be held May 6-8, 2018, in Toronto. Known for its robust networking and learning opportunities, the Spring Conference enables collaborative peer relationships in which meaningful business counsel, operational best practices and industry trends are shared and gained.

Clairemont’s Dana Phelps Hughens Named Chair-Elect for Board of PR Agency Owners

The members of the Public Relations Society of America (PRSA) Counselors Academy have elected Dana Phelps Hughens, CEO of Clairemont Communications in Raleigh, NC, as its 2017 chair-elect.

Counselors Academy is a professional interest section of PRSA that focuses on the business of agency PR. Its entrepreneurial members are owners or senior managers of leading independent firms in the U.S. and Canada. Counselors Academy’s programs foster networking, mentoring and learning.

Dana was asked to join the Counselors Academy executive committee in 2012 and served as the chair of the section’s marquee event, the PRSA Counselors Academy Spring Conference, in 2013. This year’s conference will be held May 7-9, 2017 in Seattle, Washington. Known for its robust networking and learning opportunities, the Spring Conference enables collaborative peer relationships in which meaningful business counsel, operational best practices and industry trends are shared and gained.

PRSA is the largest professional organization serving the U.S. public relations community. With a mission to “advance the profession and the professional,” PRSA provides news and information, thought leadership, continuing education and networking opportunities; sets standards of professional excellence and ethical conduct; and advocates for the business value of public relations and greater diversity among public relations professionals.
